Exhibitor Terms & Conditions

Exhibitors interested in participating in the Jobs Canada Fairs are legally bounded by all our terms and conditions stated below:

  • whether with the signed or without the signed Registration Form (before and during the Fair)
  • whether by email with Management approval (before and during the Fair)
  • whether through partnership, sponsorship or when offered free booth by Fair Management. (before and during the Fair)


The Terms and Conditions, Agreement and Regulations on this website, on the Registration Form and The Exhibitor Welcome Kit must be read carefully by all Exhibitors to avoid any unforeseen miscommunications and misunderstandings prior, during and after the Job Fair date.

Registration Form :

Upon receipt of the signed Registration Form, whether by email or fax, Exhibitor accepts and agrees that He / She will automatically be legally bound to, and agrees to comply with, all the terms of payment. Exhibitor must follow up with Fair Management whether by email or phone to ensure that the Registration Form is processed, confirmed, booked and that the booth is been reserved.

Due to the number of Registrations process on a monthly basis, Fair Management will process the Registration Form as received and communicate with Exhibitor by email (same email provided in the Form). If, Exhibitor do not hear back from Fair Management within 24-48hrs, He / She MUST communicate with Fair Management (by email and phone calls) to ensure again that the booth is confirmed, reserved and booked. Upon receipt of the Registration Form, Organization account will be created and invoice will be automatically generated. No booth cancellation will be permitted once the organization's account is created, invoice is generated and booth is confirmed.

Exhibitor MUST ensure that He / She received the Welcome Kit from Management along with any information pertaining to the Registration Form (Invoice, Online Advertisement, Job Posting, List of Exhibitors, etc).

Upon confirmation of participation, Exhibitor (Organization) authorizes Jobs Canada (Marketing Team) to automatically advertise on the website (list of the Exhibitors) the company 's logo, job postings and company profile to announce its participation in the Job Fair. Exclusive and Featured Companies will be advertised on different media channel (poster, website main page, social medias, newspapers, etc.) upon agreement by Fair Management. Advertisement on media will be as first come, first served upon Registration Form.

Exhibitor Communication :
All communication between the Exhibitor and Fair Management will be done by email (and phone if necessary). The Fair Management will use the Exhibitor email address to transmit any relevant information pertaining to the Fair (invoice, exhibitor welcome kit, etc.)

Exhibitor Registration By Email :

Upon agreement of the Fair Management, new and returning Exhibitors may participate in the Fair without signing the Registration Form. Exhibitor accepts that he/she will automatically be legally bound to, and agrees to comply with, all the terms of payment, agreements terms and conditions stipulated on our websites and email communication. Email will be used as a legal Registration Form (signed and authorized by the Organization to exhibit in the Job Fair)

Upon confirmation of participation, Exhibitor (Organization) authorizes Jobs Canada (Marketing Team) to automatically advertise on the website (list of the Exhibitors) the company 's logo, job postings and company profile to announce its participation in the Job Fair. Exclusive and Featured Companies will be advertised on different media channel (poster, website main page, social medias, newspapers, etc.) upon agreement by Fair Management. Advertisement on media will be as first come, first served upon Registration Form.


Booth Set-Up & Move-In :

Exhibitor move in and booth set up begins 1-2 hours before the Job Fair ( the exact set up time will be provided in the Exhibitor Welcome Kit that Exhibitors will receive 1-2 weeks prior to the Job Fair). The Exhibitor Welcome Kit provide additional information regarding booth preparation prior and during the Job Fair. Exhibitor must be ready and remove empty boxes from the booth 5-10 minutes prior the Job Fair starts to avoid any inconveniences in the opening of the Fair.

The Exhibitor agrees and must comply with the guidelines and deadlines for booth setup. If any delay, the Exhibitor must notify Fair Management immediately by email or phone calls, to avoid $300 CAD + taxes penalty charges. Invoice will be automatically generated and email to the Organization in default.

Booth Dismantle & Move-Out :

5-10 after the exposition closes, Exhibitors will be permitted to remove portable exhibits and personal effects from their booths. The Exhibitor agrees not to dismantle or pack any belongings before the show closes. Out of respect for the visitors, other exhibitors and for security purposes, the Exhibitor agrees not to leave its booth unattended and guarantee the presence of at least one of his or her representatives at all times during the entire period of the Fair. Show security is merely a presence to inhibit theft. Every item belonging to Exhibitors must be removed from the Show floor 5-60 minutes after the show closes. Exhibitors are responsible for all shipping and handling costs resulting from failure to remove exhibit material from the Show floor.

If any emergency to leave the Fair earlier prior to closing time, the Exhibitor must notify Fair Management by email 24-48hrs, to get approval and avoid any penalty charges up to $300 CAD + taxes from Fair Management.


Unoccupied Booth :

If Exhibitor fails to participate in the Fair and/or his exhibit space is left unoccupied for the entire duration of the Fair, the Exhibitor's absence will be interpreted as a cancellation of the Registration Form by the Exhibitor/Organization.

The Exhibitor must pay all applicable cancellation fees ($300 + taxes) and additional penalty fees ($500 +taxes) as described on this website (www.wbgcanada.com), the Exhibitor Welcome Kit along with the cancellation Terms and conditions below. These charges will be addition to the booth Registration. Some exceptions may applied by Fair Management for any unforeseen situation occurred by Exhibitor same day of the Fair. Exhibitor must ensure to communicate well with Fair Management for payment to avoid collections or litigation.


Shipping & Handling ::

Fair Management is only responsible for Exhibitor’s booth supplies as listed on the Registration Form,.
For any exhibit shipping & handling, carpeting, booth assembly and dis-assembly services, ceiling banner hanging, etc.), the Exhibitors must communicate directly with the own suppliers concerned. Any additional cost incurred by Fair Management for the above mentioned services will be automatically invoiced to the Organization after the Job Fair.
Exhibitors can mail materials directly to the hotel 3 days prior to the Fair.


Food & Beverages :

Refreshment (Assorted Sandwiches, water and Assorted Patisseries might be served at each Job Fair according to Management approval. Exhibitor must understand that Fair Management is not obliged to provide refreshments at each of the Job Fair. The Exhibitor Welcome Kit will mentioned it food and beverages is provided including time and location for the Exhibitor Lunch Area. Fair Management will not make any exception whatsoever for exhibitors that missed refreshments due to high traffic of the attendees at the Job Fair. Exhibitor must ensure to coordinate with his or her representatives to eat, grab and reserve some food if busy.

Exhibit Staff ID & Badges :

Exhibitors must bring their own badges and wear it at all the time through the Job Fair. For security purposes, technical and logistics information, Exhibitors must provide and email to Fair Management the names of each representative 24-48hrs prior to the Fair. You must specify the names of persons whose presence is assured. Badges are for staff use only because they allow entry to the show including during Fair move in and move out when forklifts and other machinery will be in use.

Badges are required for entry once the Fair begins. Jobs Canada -Temporary Badges can be prepared for your staffs in advance to avoid delays. Please contact Fair Management by email to request temporary badges.

Exhibit Display & Arrangement :

Exhibitor display materials must not block the sight-lines of neighboring booths. The arrangement and appearance of all booths is subject to approval by Fair Management, which may require changes in placement of exhibit displays and/or their redecoration at the Exhibitor's expense. Special backgrounds or dividers installed by Exhibitor must be finished so as to present no unsightliness to any adjoining Exhibitor. During open exposition hours, noise resulting from exhibit installation, alteration or operation is prohibited.

Fair Management will advise, on request, regarding the acceptable placement and height of exhibit material in any booth.
Exceptions require prior written Fair Management approval 24-48hrs in advance of move in.


Cleaning - Show Area, Booths :
Daily cleaning services are provided in the exhibit hall for aisles and common areas only.
Exhibitors requiring booth cleaning service should inform Fair Management
24-48hrs in advance of move in.


Visitor Attendance :

Beyond the control of Fair Management, Fair Management is not responsible for unforeseen conditions that can have an impact on the level of attendance such as weather conditions, problems with public transit, etc. Fair Management in all will not reimburse (in part or in full) the registration costs of the Fair based on level of attendance. The anticipated level of attendees promoted and expected by Fair Management is based on past Fairs’ average attendance.


Noises :
Music and noise from A/V, computer, sound and other equipment used for product demos and other purposes at your booth must be kept to an acceptable level, one that does not disrupt show activity, including activity at surrounding booths.


Music :
Any exhibitor playing or reproducing music at the show should comply with all copyright restrictions and obtain a license or gain authority required for such a performance.

Storage :
No packing cases/crates/boxes may remain on the exhibit floor once the Fair opens. These materials should be removed 60 minutes prior to allow for area/aisle cleaning. Crates/boxes can be stored behind exhibitor’s booths or neighboring booths. Please ensure that all materials are properly stored during the Fair so that Safety and Fire Regulations can be met.


Exhibitor Multiple Registration :
Get up to 3 complimentary Free Booths for Multiple Registration in different cities. Exhibitors must ensure to communicate well with Fair Management by email the city(s) where they wish to use their complimentary booths. Free Booths must and can only be used in the same Edition/Month as registered and cannot be transferred to other Job Fair Editions/Months. Fair Management will not be held responsible if exhibitor missed to use or was not aware about the complimentary free booths. It's clearly stated on the Registration under Multiple Registration.


Free Booth Confirmation :
Upon Exhibitor Confirmation to attend Jobs Canada - Job Fair using complimentary Free Booth, Exhibitor accepts and agrees that He / She will automatically be legally bound to, and agrees to comply with all Exhibit terms, conditions, guidelines and policies stated in the Fair Management email, The Exhibitor Welcome Kit and The Website. No booth cancellation will be permitted once booth is confirmed and reserved for the Exhibitor. If failure to attend, Exhibitor will be charged cancellation penalties $300 plus $500 for Booth preparation (tables/ chairs set up and dismantle, food & beverages along with online marketing advertisement)

Exhibitors must ensure to communicate well with Fair Management by email and phone Calls to inform booth cancellation within 5-7 business days to avoid booth cancellation penalties and additional charges as stated above.


Solicitation :

Solicitation and Networking is permitted and authorized for Registered Exhibitors ONLY.
Solicitation, advertisement and Networking is strictly prohibited for any unregistered exhibitor/company, job developers, employment agencies, entrepreneurs, freelances, non for profit organizations, head hunters and more.

Exhibitor, organization or any of individual cited above is been caught will result in legal actions for unauthorized solicitations and for not having respected the rules and regulations of the Fair and MUST pay full rental price of an exhibition space in 10 days upon receipt of the invoice. Exhibitors are rewarded $100 CAD if they report any unauthorized solicitation from any unregistered exhibitor/company, job developers, employment agencies, entrepreneurs, freelances, non for profit organizations, head hunters and more.


Booth Cancellation :
Booth cancellation must be request in writing and will be subject to approval by Fair Management.

60 days prior to the Fair, Exhibitor will be charged 50% of the total value of the invoice (plus 5% interest charges if the payment is not received in full within 15 days of the date of the invoice). 30 days prior to the Fair, Exhibitor will be charged 100% of the total value of the invoice (plus 5% interest charges if the payment is not received in full within 10 days of the date of the invoice).

The Exhibitor agrees to pay all legal fees (lawyers’ court, collection agency’s fees, etc.) that Fair Management will require for legal action to ensure payment when the Exhibitor/Organizations fail:

  • To provide full payment to Fair Management within the requested days after the cancellation’s written notice is received, approved, agreed and accepted by Fair Management Head Office.
  • To comply with the terms of payment, interest charges and late payment underlined in this website, the Registration Form and email.
  • To participate in the Fair and/or leave the exhibit unoccupied for the duration of the fair without a cancellation request submitted to Fair Management in writing without Management approval.


Unforeseen Cancellation of the Job Fair :

For all unforeseen events, inconveniences, weather conditions, etc., beyond the control of Fair Management being found necessary for whatever reason that the Fair must be postponed, abandoned or altered in any way, or if the Fair Management Office finds it necessary to change the dates of the Event, Fair Management will not be liable for any expenditure, damage or loss incurred by the Exhibitor. The costs already incurred for the production of the Fair at the time of cancellation will be covered and equitably calculated by Fair Management.

If by re-arrangement or postponement of the period of the Fair, or any other reasonable manner, the Fair can still take place, the contract (The Registration Form) between Fair Management and the Exhibitor must remain in force. The Exhibitor will not be eligible for any refund whatsoever by Fair Management, and will not receive reimbursement if the Exhibitor incurred additional costs associated with the Fair (travel & hotel expenses, damages, loss, shipping & handling, customs, etc.).

Videotaping, Photography & Broadcasting :
Not permitted for non registered exhibitors, medias, organizations and visitors.

Photography, videotaping, televising or any reproduction of any kind of Jobs Canada Fair ( attendees, booth display, exhibitors interview, job seeker feed-backs, etc...) is not permitted in any circumstances for unregistered and unauthorized Exhibitors, Medias, Organizations and Visitors during and after the Job Fair, at the venue where the Fair is held or 10km distance from the venue (hotel, convention centre, etc) .


Videotaping, Photography and Broadcasting is authorized and permitted ONLY under the following terms & conditions:

  • Fair Management authorizes Exhibitors and Medias to photograph and videotape The Job Fair ONLY TO PROMOTE POSITIVELY its recruiting activities and good experiences toward any communication (websites, social media, newsletters, television, radio, etc.). In all circumstances when doing so, Exhibitors and Medias agrees and must mention and identify on each photo, images, videos, articles or documentation the name of Jobs Canada Fair (Jobs Canada)

  • Fair Management strictly prohibit Exhibitors and Medias to promote, market or advertise any photos or videos of the Fair for its own property interest and/or to obtain any commercial benefit. In all circumstances, Exhibitor, Visitor and Media agrees to respect and protect all images, photos, videos and documents of the Fair in all under the copyright law in Canada that governs the rights of use and protects the Fair against any fraudulent use and misleading information.

  • The Exhibitor and Media authorizes Fair Management to photograph and videotape the Fair in All for improvement and development of the Fair and future events organized by Fair Management as well as for commercial purposes that can be used in any communication (websites, newsletters, social media, marketing/sales documentations, the Fair’s website, emails, mails, Internet, etc.). In all circumstances when doing so, Fair Management AGREES, ACCEPTS, AND GUARANTEES to use all photography and videos in a POSITIVE way that will not be a detriment the corporate image of the Exhibitor’s booth(s), representatives, branding, etc.)


Copyright :

Media, Visitors and Exhibitors agrees and accepts that any communication, documentation and marketing material (Exhibitors’ Manual, flyers, Registration Forms, emails, phone calls, video or radio interviews, etc.) received by Fair Management through email, mail and/or other means of transmission before, during and after the Fair is exclusively limited, admitted and authorized for the purpose of ONLY TO PROMOTE POSITIVELY its recruiting activities and good experiences toward any communication (websites, social media, newsletters, newspapers, magazine, television, radio, etc.). In all circumstances when doing so, visitors, exhibitors and medias agrees and must mention and identify on each photo, images, videos, radio, interviews, articles or documentation the name of Jobs Canada Fair or Jobs Canada.

Medias, Visitors and Exhibitors agrees and accepts that any communications, documentations, images, photos, videos and interviews taken on site at the Job Fair, is ONLY TO PROMOTE POSITIVELY its recruiting activities and good experiences toward any communication (websites, social media, newspapers, television, radio, etc.). In all circumstances when doing so, Visitors, Exhibitors and Medias agrees and must mention and identify on each photo, images, videos, articles or documentation the name of Jobs Canada Fair (Jobs Canada).


Competition :
In all circumstances, the Exhibitor agrees not to compete directly or indirectly with any events produced by Jobs Canada as listed on the Registration form and the Fair’s website for a period of ten (10) years after its invitation & participation in any Fair.


Acknowledgement of and compliance with Terms and Conditions.
Failure to comply with all of these terms, conditions, regulations, agreements and Fair’s copyright stipulated in this website, the Registration Form, Exhibitor’s Welcome Kit and the venue Operating Guidelines, the Exhibitor strictly authorized Fair Management to conduct legal action only for the purpose of protecting the Fair against event concept, copyright and trademark violations, image branding, marketing methods, etc.

The Exhibitor agrees to pay all legal fees (lawyers’ court, collection agency’s fees, etc.) that Fair Management will require for legal action to protect its copyright in whole or in part, in any form and at all times for each event.
